This documentation outlines how faculty and staff may request tuition remission for themselves, their dependent children and their spouse or domestic partner. Please contact the Human Resources Office (336-278-5560) with any questions.
Access
- Login to OnTrack
- Choose the correct option from the drop down box for whom tuition remission is being requested
- Choose the correct term from the drop down box and click Submit to continue with the request
Request for Employee
- Read the terms listed
- Complete the lost time entry and check the signature box
- Click Submit to submit the request for supervisor approval and processing
Request for dependent child, spouse or domestic partner
- Choose yes or no if the dependent child, spouse or domestic partner has an undergraduate degree and click Submit to continue with the request
- Enter either the University ID OR Elon email address (include @elon.edu) for the dependent child, spouse or domestic partner and click Submit to continue with the request
- Read the terms and check the signature box
- Click Submit to submit the request for approval and processing
Supervisor approval
- Login to OnTrack
- To view the details and make a decision for a request, click on the View Details link in the Details column
- To approve the request, click the Accept button
- To reject the request, enter the required comments and click the Reject button. Comments are required and will be emailed to the employee.
- To view the details for a previous or pending request, click the appropriate link at the bottom of the page
View previous requests
- Any previous and pending requests will be listed at the bottom of the main request page
- Click the appropriate link to see the details of the request

What are the steps for entering a tuition remission request for myself?
- The employee submits a request for themselves
- An email goes to their supervisor advising them of the request
- The supervisor approves or rejects the request
- If the request is rejected, it is complete and a new request must be submitted, if applicable
- If the request is approved, it is sent to the Office of Human Resources for processing
- Once Human Resources processes the request, it is sent to the Office of Financial Planning for processing
- Once Financial Planning processes the request, it is sent to the Bursar's Office for processing
- Once the Bursar's Office processes the request, the credit is applied to the student account and the request is complete

- Submitted - employee has completed and signed the request
- Pending supervisor decision - waiting for supervisor decision
- Rejected - rejected by supervisor
- Pending HR processing - waiting for Human Resources to process
- Denied by HR - request denied by Human Resources
- Pending FA processing - waiting for Financial Planning to process
- Denied by FA - request denied by Financial Planning
- Processed - request has been approved
What could be holding up my request?
Any request for a dependent child, spouse or domestic partner requires a 1040 tax form for the employee listing the dependent(s) for the appropriate tax year. If the Office of Human Resources needs that form, verbiage will indicate that need on the terms page and in the email the employee receives when the request is submitted. Once the form is received by Human Resources then the request can be processed.

- Email to supervisor when an employee submits a request for themselves
- Email to employee when a supervisor approves the request
- Email to employee when a supervisor rejects the request
- Email to employee confirming a request was submitted for a dependent child, spouse or domestic partner
- Email to employee that a request has been processed
- Email to employee when Human Resources or Financial Planning has denied the request
