Subscription-based AI Tools

While we encourage faculty, staff, and students to use the free version of Microsoft Copilot and ElonGPT, there may be use cases where a paid version of a tool better meets a user’s needs. In these cases, Elon does have active contracts and administers licenses for Microsoft 365 CoPilot and Open AI’s ChatGPT Teams.  

Microsoft 365 CoPilot 

Microsoft 365 CoPilot is an AI assistant designed to enhance productivity and creativity within the Microsoft 365 suite of applications. It integrates with tools like Word, Excel, and Teams to provide real-time assistance, automate tasks, and offer intelligent suggestions. Licenses are renewed annually and can only be purchased through the Technology Service Desk using a departmental account number. To request a license, the budget manager/supervisor should submit a request via IT’s “Price Quote/Purchase Software” page, indicating the product to be purchased, who should receive the license, and the account number to be charged. As of September 2024, Microsoft 365 CoPilot is $371/year. 

While licenses can be requested at any time during the year, deactivation of an existing license can only be made annually, during IT’s contract renewal period with Microsoft. These requests must be made in advance (currently all requests should be made on or before April 1st) to avoid an automatic renewal. 

ChatGPT Teams 

A limited number of annual licenses were purchased to support the exploration of Open AI’s Chat GPT tool. While more licenses can be purchased, IT is working closely with the Director of AI Integration to provide a free ChatGPT-like tool that would also have guardrails to protect data privacy. We are currently not purchasing additional licenses of ChatGPT Teams.
