Definitions

Legal Name

  • Report writers requesting to use these fields will be approved by Registrar or Human Resources
  • Prefix - A title used before a person's name
  • First Name - Legal first name on faculty/staff member's Social Security card or student's Social Security card or FIN
  • Middle Name - Legal middle name on faculty/staff member's Social Security card or student's Social Security card or FIN
  • Last Name - Legal last name on faculty/staff member's Social Security card or student's Social Security card or FIN
  • Suffix - A group of letters that follows a person's full name and provides additional information about the person

Chosen Name

  • Familiar name for a person such as a nickname
  • The name that a person likes to be called if it is something other than the legal name
  • Used in all applications unless legal name is required
  • These name fields are built using logic that takes into account if the chosen and legal name fields are populated
  • These name fields supersede the legal name fields when populated and may be used for external reporting
  • Prefix
    • Not populated if the legal prefix is a gender specific prefix such as, Miss, Mr., Mrs., Ms., Mx
    • Legal prefix if legal prefix is non gender specific
  • First Name
    • Chosen first name if chosen first name is populated
    • Legal first name if chosen first name is not populated
  • Middle Initial
    • First initial of chosen middle name if chosen middle name is populated
    • First initial of legal middle name if chosen middle name is not populated
    • Not populated if chosen first name is populated AND chosen middle name is not populated
  • Last Name
    • Chosen last name if chosen last name is populated
    • Legal last name if chosen last name is not populated
  • Suffix
    • Not populated if chosen first name or chosen last name are populated
    • Legal suffix if chosen first name and chosen last name are not populated

Campus Name - Chosen First Name

Campus FL Name - Combination of Chosen First Name and Last Name

Scenarios for Name Use

The scenarios below provide guidance for choosing name fields for reporting in different situations.

When extracting names for reporting externally about a person's campus activities such as press releases to hometown newspapers when students receive honors or for printing certificates for student achievement, use the chosen name fields.

When extracting names for communications with students, faculty and staff and internal University lists such as class rosters, major lists, or group membership use the chosen name fields.

When extracting names for compiling legal documents or reporting individual data to a government agency, obtain permission from the Registrar or Human Resources to use the legal name fields.
